Body Corporate

Owner Portal

Obtain information about the body corporate and more specifically your particular unit by access to the Owner Portal.

Bespoke Body Corporate uses the Strata Master management software to manage all body corporates. Strata Master provides an integrated system that stores body corporate owner information, provides accounts and accounting functionality and also provides AGM, committee meeting and service contract workflow and management.

Over and above this, is access to the Owner Portal for all relevant body corporate and individual unit information.

Financial

  • Raising and collecting levies
  • Making invoice and GST payments
  • On behalf of the body corporate (in conjunction with their requirements), managing the trust account by receiving payments and paying creditors
  • Managing income tax and GST returns
  • Updating, on a daily basis the body corporate financial reports
  • Drafting an annual budget for review, amendment and approval
  • Provide financial information to external auditors should they be appointed by the body corporate to review their accounts

Administration & Management

  • Updating body corporate owners in regard to their annual general meeting (“AGM”), providing agenda and all AGM supporting documents and financial information
  • Recording AGM minutes and distributing these to unit owners after the meeting along with details of the approved annual budget and corresponding unit annual levy payments
  • Maintaining the legal register of owners/tenants
  • Timely turnaround to all queries and questions raised by body corporate members by email and phone
  • Arranging, chairing and taking minutes of body corporate committee meetings as and when required
  • Maintain a body corporate file for each body corporate holding all relevant information

Management Services

Maintenance

  • Manage contractors in regard to regular common area servicing
  • Obtain quotes for common area repairs and maintenance as required
  • Manage service contracts for common area services, obtain quotes as required when contracts coming to an end
  • Work with building managers in regard to servicing and repairs and maintenance as required
  • Monitor and manage body corporate approved budget in regard to maintenance

Committees / Chairperson

  • Arrange, Chair and take minutes of body corporate committee meetings as required
  • Liaise with body corporate Chairperson and committee meetings in regard to various body corporate matters

Insurance and Valuation

  • Obtain an annual valuation for insurance renewal purposes as required
  • Obtain insurance renewal quotes for body corporate approval, renew insurance annually
  • Make insurance claims on behalf of the body corporate for common areas
  • Work with owners for any individual insurance claims

Over and above the standard body corporate services provided, additional assistance for the body corporate or unit owners may be required (charges may apply) in regard to:

  • Specific projects undertaken by the body corporate
  • Amendments to the operational rules
  • Pre-contract and pre-disclosure documents required when selling a unit

Developers

Work with developers to provide a draft budget and body corporate rules for the body corporate that can be used to provide information to prospective purchasers.

Assist with appointing contractors to manage the complex once it requires their services.

Arrange the first annual general meeting of new owners once sufficient numbers of units have been sold down.

What We Do

Andy Porter set up Bespoke Body Corporate recognising the successful management of a body corporate comes down to a dedicated, experienced and motivated body corporate manager working with the body corporate Chairperson, committee and individual body corporate member owners.

His direct experience comes from having spent 5 years as a part owner and general manager of Boutique Body Corporate Limited. During this time Andy managed a diverse range of body corporates and cross lease properties.

Andy originally trained as a lawyer and was admitted as a Barrister and Solicitor of the High Court of NZ after obtaining his law degree.

Over and above this Andy has a wealth of business ownership and commercial experience gained both in the UK and NZ.
